A five-minute habit prevents most rental disputes. Rentamania LTD explains how to inspect, photograph and document your car when you collect and return it.

GUIDE How to Properly Pick Up and Return a Rental Car in Cyprus

Practical advice from the Director of Rentamania LTD, based on more than 10 years of experience in the Cyprus vehicle rental industry.

One of the simplest ways to avoid problems costs nothing and takes only a few minutes: always document the vehicle carefully. Most disputes about vehicle damage can be avoided entirely when both sides have proper documentation.

01 Read and Understand the Rental Agreement First

Before you even touch the car, read the rental agreement, understand the insurance conditions, check the fuel policy, clarify any restrictions and ask questions if anything is unclear. Only then should you accept the vehicle.

02 Photograph Everything Before Driving Away

Once you have accepted the vehicle, take a few minutes to document its condition thoroughly:

  • front and rear bumpers;
  • both sides of the vehicle;
  • wheels and rims;
  • windshield and mirrors;
  • roof, if possible;
  • interior and dashboard;
  • any existing scratches, dents or visible damage.

03 Record a Complete Video Walkaround

In addition to photographs, walk slowly around the car and record a video capturing every side, existing scratches and dents, the wheels, the interior, the dashboard, the fuel level and the mileage. This usually takes less than two minutes — and those two minutes can save hundreds or even thousands of euros.

04 Why Is Documentation So Important?

Most rental companies operate honestly and professionally, but misunderstandings can happen. One employee may deliver the vehicle and another may inspect it on return — common in larger companies with multiple shifts. The employee receiving the car may simply not know every existing scratch or dent.

Small damage may not have been recorded, previous customers may have caused unnoticed damage, or minor damage may have occurred while the vehicle was parked at the company's premises. Usually these are honest mistakes — but without your own evidence, resolving such disputes can become difficult.

Clear photographs and videos create objective evidence that protects everyone: they show exactly what damage already existed and the condition of the vehicle when you received it.

05 Understand the Return Condition Requirements

A common question is: "Do I need to clean the car before returning it?" The answer depends on the company. Many companies in Cyprus follow an informal principle called Same to Same — return the vehicle in approximately the same condition in which you received it. If the vehicle became noticeably dirty during your trip, the safest approach is often to stop at a petrol station before returning it and use the self-service washing facilities for around €5–€10.

At Rentamania LTD, we do not consider normal dirt from everyday use (light dust, minor dirt on floor mats, typical road use on paved roads) to be a problem. Still, every company has its own policy, so always verify the cleaning standard in the agreement or with the representative.

06 Repeat the Documentation When Returning

Many customers document the vehicle when collecting it but forget to do so when returning it. Repeat the entire process — new photographs, a new video, all sides, the interior, the fuel level and the mileage.

07 If the Representative Is Not Present

This happens frequently in Cyprus — an early flight, a delayed representative, or several deliveries at once. Companies often ask customers to leave the keys at the hotel reception, which is a common and generally accepted practice. If you do, document everything:

  • exterior and interior photographs, plus a video;
  • where the vehicle was parked;
  • the hotel reception;
  • the keys before handing them over;
  • if possible, the handover itself.

Complete all documentation at the exact time your rental period ends. The representative may arrive an hour, several hours or even a day later — and during that period you no longer control the vehicle. Your documentation proves its condition and when your responsibility ended.

Never rely on memory and never rely solely on paperwork — always rely on evidence. Spend five minutes documenting the vehicle when you receive it, another five when you return it, and, if necessary, ten minutes washing it. These few minutes may become the most valuable of your entire holiday.
