One of the simplest ways to avoid problems costs nothing and takes only a few minutes: always document the vehicle carefully. Most disputes about vehicle damage can be avoided entirely when both sides have proper documentation.
Before you even touch the car, read the rental agreement, understand the insurance conditions, check the fuel policy, clarify any restrictions and ask questions if anything is unclear. Only then should you accept the vehicle.
Once you have accepted the vehicle, take a few minutes to document its condition thoroughly:
In addition to photographs, walk slowly around the car and record a video capturing every side, existing scratches and dents, the wheels, the interior, the dashboard, the fuel level and the mileage. This usually takes less than two minutes — and those two minutes can save hundreds or even thousands of euros.
Most rental companies operate honestly and professionally, but misunderstandings can happen. One employee may deliver the vehicle and another may inspect it on return — common in larger companies with multiple shifts. The employee receiving the car may simply not know every existing scratch or dent.
Small damage may not have been recorded, previous customers may have caused unnoticed damage, or minor damage may have occurred while the vehicle was parked at the company's premises. Usually these are honest mistakes — but without your own evidence, resolving such disputes can become difficult.
Clear photographs and videos create objective evidence that protects everyone: they show exactly what damage already existed and the condition of the vehicle when you received it.
A common question is: "Do I need to clean the car before returning it?" The answer depends on the company. Many companies in Cyprus follow an informal principle called Same to Same — return the vehicle in approximately the same condition in which you received it. If the vehicle became noticeably dirty during your trip, the safest approach is often to stop at a petrol station before returning it and use the self-service washing facilities for around €5–€10.
